Participation, Terms and Conditions

Many thanks for considering an expedition or course with Hepworth Adventures Ltd

These are our booking Terms and Conditions for all our courses and expeditions (there is no small print). These have been amended for 2020 and the Coronavirus.

You must make sure you are happy with the terms and conditions below. They are simple and they are designed to be fair to you and to us. We do stick to them for all cancellations, so please read them properly now to avoid awkward emails in the future -this is much better for everyone.

  • All deposits are non-refundable & non transferable
  • If you show symptoms of Covid-19 up to 10 days after the course you will inform Hepworth Adventures at the earliest opportunity.
  • Your course may need to be postponed or change location due to current government instructions which Hepworth Adventures will abide by.

Payment for the full amount after you have completed and submitted the booking form secures your place on the course.
If you are booking an overseas expedition you can either pay the full amount or a non-refundable deposit of £500 followed by the final balance at least 12 weeks before departure. If the balance is not paid by this date we reserve the right to re-sell your course space without refunding your deposit.
For sea cliff camping or challenges, a 50% deposit followed by the final balance 8 weeks before the event.

When you complete the booking form below, you will receive an email with details of how to pay via BACS.

Cancellation: 
If you cancel for any reason and we cannot fill your date, we expect you to pay the full fee and claim from your insurance company as appropriate.
If we cancel for any reason, we will refund all your money.

For Safety, we reserve the right to change or cancel a course due to weather/ environmental or other conditions beyond our control. In this event we will inform you as soon as possible using the contact details provided on the booking form. In this case we will offer an alternative activity or course date.

Insurance:

We have full Public Liability Insurance with Activities Industry Mutual.
We would strongly advise that you are insured for your course or expedition to cover the activity you are undertaking.
We do not include any personal accident, cancellation, third party liability or personal insurance.
We will accept no responsibility whatsoever in respect of loss or damage to personal property.

Your Safety

Climbing, mountaineering and hill walking are all potentially dangerous activities. Please read our participation statement below as you will need to agree to it when you book.

Participation Agreement

When an activity becomes predictable and absolutely safe, it ceases to be exciting or by definition to be an adventure. For an activity to be adventurous it must have an uncertain outcome and it will carry risks. Going into mountainous regions is implicitly hazardous, and if we add to that an adventurous activity, then by necessity the hazards are increased. This implies an inherent and intractable risk of injury or, in the extreme, loss of life. Anyone considering taking part in a trip needs to consider this very seriously and to take responsibility for their own participation and acknowledge and accept these risks.

Overseas Expeditions: Our expeditions and courses are educational and they are exciting; they will take you to parts of the world that will make a big impression on you and you will experience moments that will remain with you for the rest of your life. Sadly, some of these areas are impoverished – although boosting the local economy is added incentive for us to visit. However, it means we often operate in regions with limited infrastructure. If you are injured, problems with infrastructure can mean a delayed evacuation and so a more serious medical outcome than for a similar accident nearer to home.

For us, the benefits of mountaineering expeditions overseas far outweigh the negatives. This is why we do what we do, and we hope you will feel the same. In order to take part in a truly exciting, adventurous activity with all the rewards of experiencing diverse cultures and sharing unforgettable memories with newly found friends, you have to accept the risks involved.

The BMC acts on behalf of walkers, climbers and mountaineers in the UK and offers the following participation statement that we ask you to agree to:

“The BMC recognises that climbing, hill walking and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions and involvement.”
